1. INTRODUCTION These Terms and Conditions strictly govern the booking, occupancy, and use of all facilities, including the restaurant and event spaces, at Qila Hotel. By making a reservation or occupying the premises, guests enter into a binding agreement with ADSTERRAWEI GLOBAL LLP and agree to strictly adhere to these policies and all applicable laws of the Republic of India.
2. GUEST REGISTRATION, IDENTIFICATION & ADMISSION
Mandatory Identification: In compliance with Indian hospitality regulations, every guest (including accompanying visitors) must present a valid, government-issued photo ID with address proof at the time of check-in. Accepted documents include Aadhar Card, Voter ID, Driving License, or Passport. PAN Cards are not accepted as they do not contain address proof.
Foreign Nationals: Under the Registration of Foreigners Act, 1939, and related rules, all foreign nationals must present a valid original Passport and Visa upon arrival. The hotel is legally obligated to submit a "Form C" to the local Police/FRRO within 24 hours of arrival.
Right of Admission Reserved: Management reserves the absolute right of admission. Admission may be denied to individuals posing a security risk, displaying inappropriate behavior, or failing to produce mandatory identification, without any liability for refund.
3. LEGAL COMPLIANCE & PROHIBITED ACTIVITIES
Contraband & Weapons: Under the Narcotic Drugs and Psychotropic Substances (NDPS) Act and the Arms Act, the possession or consumption of illegal drugs, contraband, and unauthorized firearms on the property is strictly prohibited. Violators will be immediately reported to Moradabad local law enforcement.
Gambling & Prostitution: All forms of gambling and prostitution are strictly prohibited on the premises.
Smoking Policy: In compliance with the Cigarettes and Other Tobacco Products Act (COTPA), 2003, smoking is strictly prohibited in all indoor areas, rooms, and the restaurant. Smoking is only permitted in clearly designated outdoor smoking zones.
4. FOOD, BEVERAGE & EXCISE LAWS
Alcohol Consumption: In accordance with the Uttar Pradesh Excise Rules, the legal drinking age is 21 years. Management reserves the right to request age verification. Outside liquor is strictly prohibited on the premises unless prior written permission (and applicable corkage fees) has been agreed upon for a private event.
Food Safety: The restaurant operates in strict adherence to Food Safety and Standards Authority of India (FSSAI) guidelines. To maintain these health standards, outside food and beverages are not permitted in the hotel rooms or common areas.
5. POOL, AMENITIES & EVENT USAGE
Swimming Pool Safety: The property features a swimming pool measuring 51ft by 22ft with a maximum depth of 6ft. There is no lifeguard on duty. Use of the pool is strictly at the guest's own risk. Minors must be accompanied and actively supervised by an adult at all times. Guests must wear proper synthetic swimwear.
Event Inclusions: For any private event, pool party, or staycation package, the services, amenities, and setups provided are strictly limited to what is explicitly itemized in the final written booking agreement. Management assumes no responsibility for unauthorized third-party decor or services.
Noise and Nuisance: To respect the peaceful environment for all guests, management reserves the right to enforce noise restrictions, particularly after 10:00 PM, in accordance with local municipal noise pollution guidelines.
6. PRIVACY, SURVEILLANCE & DATA PROTECTION
CCTV Surveillance: For the safety and security of our guests and in compliance with general security directives, CCTV cameras are actively monitoring and recording all public areas, corridors, parking, and exterior grounds.
Data Protection: Guest data collected during check-in is stored securely and used exclusively for legal compliance, billing, and internal management, adhering to the Information Technology (Reasonable Security Practices and Procedures and Sensitive Personal Data or Information) Rules.
7. LIABILITY, VALUABLES & DAMAGES
Damage to Property: Guests are fully responsible for any damages caused to the property, including but not limited to the cinematic exterior lighting, architectural structures, room furnishings, and landscaping, caused by themselves or their visitors. Repair or replacement costs will be directly billed to the guest.
Personal Belongings: Management is not liable for the loss, theft, or damage of any personal valuables, cash, or electronics left in guest rooms, common areas, or vehicles parked on the premises.
8. GOVERNING LAW & JURISDICTION These Terms and Conditions shall be governed by and construed entirely in accordance with the laws of India. Any disputes arising out of or in connection with these terms, guest stays, or events shall be subject to the exclusive jurisdiction of the competent courts in Moradabad, Uttar Pradesh.
All Bookings are Final: All reservations at Qila Hotel, whether for standard room stays, staycation packages, or private events, are 100% non-refundable. Once a booking is confirmed and payment (partial or full) is received, no refunds will be issued under any circumstances, including personal emergencies or changes in travel plans.
No Modifications: Date changes, postponements, or modifications to the original booking are not permitted. If a guest is unable to fulfill their reservation on the booked dates, the entire payment will be forfeited.
No-Shows and Early Departures: In the event of a no-show, delayed arrival, or early check-out before the scheduled departure date, guests remain responsible for the entire cost of the originally booked stay. No partial refunds, adjustments, or future credits will be provided.
Event & Pool Party Bookings: Due to the exclusivity of the venue and the extensive preparation required to reserve the 51ft by 22ft pool area and block the grounds for private functions, all payments made toward event and banquet contracts are strictly final and non-refundable from the exact moment of booking.

1. CHECK-IN AND CHECK-OUT POLICY
Standard Timings: Check-in time is 2:00 PM, and Check-out time is 11:00 AM.
Early Check-in / Late Check-out: Requests for early check-in or late check-out are strictly subject to room availability and may incur additional charges. Guests requiring guaranteed early arrival should book the room from the previous night.
Overstay: Any unauthorized overstay beyond the standard check-out time will result in a minimum charge equivalent to 50% of the daily room rate up to 4:00 PM, and a full day's charge thereafter.
2. RESERVATION, PAYMENT & BILLING POLICY
Advance Deposit: A minimum advance payment of 50% of the total booking amount is required to confirm a room or event reservation.
Settlement of Bills: All outstanding balances must be cleared in full upon check-out or at the conclusion of an event. We accept major credit/debit cards, UPI, and bank transfers.
Taxes: All tariffs, food, and beverage charges are subject to applicable Goods and Services Tax (GST) as mandated by the Government of India.
3. CANCELLATION & REFUND POLICY
Standard Room Bookings: * Cancellations made 72 hours or more prior to the check-in date will receive a full refund of the advance deposit.
Cancellations made within 48 to 72 hours of the check-in date will incur a cancellation fee equivalent to one night's room charge.
Cancellations made less than 48 hours prior to check-in, or in the event of a no-show, will result in a 100% forfeiture of the advance deposit.
Event Bookings (Pool Parties & Banquets): * Event cancellations must be made at least 15 days in advance for a partial refund. Cancellations made within 15 days of the event date are non-refundable due to the preparation and blocking of the 51ft by 22ft pool and associated grounds.
4. VISITOR POLICY
Visitor Access: For the security and privacy of all residing guests, outside visitors are not permitted in guest rooms after 8:00 PM.
Meeting Areas: Guests are welcome to entertain their visitors in the public areas, including the restaurant, lobby, and designated outdoor seating areas, during standard operating hours.
5. CHILD & EXTRA BED POLICY
Children Under 8 Years: Up to two children under the age of 8 may stay free of charge when sharing the existing bedding with parents.
Extra Bedding: Children aged 8 and above, or any extra adult, will be subject to an extra bed/occupancy charge. A maximum of one extra mattress/rollaway bed is permitted per standard room.
6. EVENT DECOR & SETUP POLICY
Strict Inclusions: For all private events and functions, the setup, styling, and amenities provided will be strictly limited to the exact items explicitly listed in your final approved event contract.
Exclusions: We do not supply, assume responsibility for, or permit the setup of any unlisted items (including generic external additions or floral arrangements) unless they are actively itemized in the billing agreement.
7. PET POLICY
To maintain a highly pristine environment and ensure the comfort of all guests regarding allergies and noise, Qila Hotel strictly prohibits pets on the property, including in guest rooms, the restaurant, and the pool area.
8. COMMERCIAL PHOTOGRAPHY & DRONE POLICY
Personal Photography: Guests are welcome to take personal photographs in public areas.
Commercial Shoots: Any commercial, pre-wedding, or professional photography/videography utilizing the property's architectural arches and exterior lighting requires prior written permission from management and is subject to location fees.
Drones: The flying of drones is strictly prohibited on or above the property without explicit, prior written authorization from both hotel management and local Moradabad authorities.
